BOOTH MATERIAL SHIPMENTS
From Tuesday, October 21, material sent by courier companies can be received at the venue. This material will be received by organization staff and stored in the common warehouse.
On Wednesday night all the material received will be deposited in its corresponding stand for greater agility at the time of build up.
For the correct delivery of your material, it is MANDATORY that all boxes are identified with THIS LABEL duly completed.
BUILD UP
THURSDAY, October 23 from 8:00 a.m. to 1:00 p.m.
On Thursday at 8:00 a.m., the stands will be “delivered” with the contracted specifications (carpet, lighting, structure, graphics, furniture) and with the material sent by couriers.
Exhibitors’ access to the Palace will be available through the main door.
If the exhibitor brings their material with their own vehicle, access will be via Calle Amberes. Vehicles may not remain in the unloading area. The congress staff will receive the packages and deliver them to the stand. The exhibitor will not be able to access the palace through the warehouse.
All exhibitors must be previously registered to receive their access pass to the Palace via email.
All material previously sent by courier will be at the corresponding stand indicated on the boxes.
The warehouse staff will help with the transport and storage of boxes and extra material that exhibitors need to have stored during the event.
The cleaning staff will help with the removal of plastic debris and boxes to be destroyed.
All stands must be set up before 1:00 p.m. for the expo opening. After that time, the transfer of pallet trucks or large-volume boxes will not be allowed.
DURING THE CONGRESS
Exhibitors will be able to access the expo a few minutes before the official opening every day. The storage service will remain available during the event and boxes and material may be stored under the supervision of event staff.
DISMANTLING
SATURDAY, October 25 from 3:30 p.m. to 6:00 p.m.
Exhibitors must collect their material (machinery, samples, brochures, etc.) and package it appropriately for removal.
Withdrawal by the exhibitor: The exhibitor may freely withdraw merchandise from 6:30 p.m.
Pickup by couriers: The material to be picked up by couriers must be left at the same stand duly labeled with the shipping address. The congress staff will take these goods to the warehouse and deliver them to the couriers on Monday.
SUNDAY, October 26
External suppliers may remove furniture, vinyl, foams, and dismantle structures.
MONDAY, October 27 and TUESDAY, October 28 from 9:00 a.m. to 6:00 p.m.

STAND DESIGN
Since 2019, the SEVC Congress includes the basic construction of the stands for all exhibitors with the aim of minimizing construction costs and thus offering the possibility of reinvesting the extra cost in scientific content for veterinarians.
In addition, the format offered reduces the waste of single-use materials with their consequent destruction without recycling, such as wood or many plastics.
Design and construction regulations
Shell scheme construction
All booths include a shell scheme structure that varies depending on the stand size and its location.
Booths under 24 m include shell scheme walls, fascia board, blue carpet, electrical power and lighting.
Booths over 24 m also include a 4 m warehouse that will be built according to the characteristics of the stand.
The construction design will be decided by the organization based on the location and characteristics of the booth.
Free construction is not allowed, except when the exhibitor demonstrates the reuse of modular structures for the construction of their booth.
If the booth adjoins an electrical supply point or another type that requires accessibility, the organization will place a specific panel for proper accessibility.
The construction design of each stand will be provided by the organization 3 months before the event.
The exhibitor may propose changes to the design proposed by the organization, and changes may be made provided they follow the space characteristics and respect the environment.
Floors, carpets and platforms
All stands include blue carpet. Stands over 24 m include the possibility of changing the carpet color at no additional cost, choosing from the color palette provided in the Boutique. Any color outside of this palette may have an extra cost. The construction of flooring platforms is allowed, always with prior notice to the organization to coordinate assembly.
Stand decoration elements
Modular panels can be covered with vinyl or foam, always following the specific measurements of the panels. At the end of the event, these elements must be dismantled by the company that installed them, leaving the modular panel clean and without any glue. Failure to dismantle said materials may entail an additional cost to the exhibitor, to be defined by the organization.
Modular panels can be replaced with reinforced panels that can be drilled to hang items such as televisions. This product must be contracted with the official installer.
The stand can be decorated with mobile elements such as furniture, brochure holders, counters, plants, televisions, banners, machinery, etc. No element may exceed 1 m in width and 2 m in height.
The distribution of all elements must not impede the visibility of the rest of the expo, stands, and other event elements. Large elements (including the modular construction) must not occupy more than 30% linearly to avoid blocking visibility.
No painting or carpentry work is allowed during assembly. All exhibitors must send the organization a stand design no later than 20 days before the event for approval.
Electrical power and lightning
All stands include an independent electrical panel with electrical power according to the stand size. Specific information for each stand is provided in advance. All stands have basic lighting included. The booth does not include plugs or extension cords. The placement of sockets under the carpet must be informed in advance for proper installation.
Aerial elements and rigging
Aerial elements or rigging are not allowed. It is not allowed to place elements that exceed 30 cm above the maximum height of the stand construction.
External companies
The assembly of decorative elements by third-party companies is permitted. The installation of vinyl, foams, furniture, and other elements by external companies must only be carried out on Wednesday afternoon from 2:00 p.m. to 8:00 p.m.
ACTIVITIES INSIDE THE STAND
During the event, the exhibitor will have decision-making power over the activities carried out at their stand and will have the right of admission. Music or sound systems that may disturb neighboring exhibitors or visitors are not permitted. Holding talks in small groups is allowed as long as the sound does not disturb neighboring stands or other visitors.
Direct sales are allowed. The exhibitor is responsible for the elements, samples, and gifts provided to visitors. Each exhibiting company will have a specific number of exhibitor passes included according to the stand size.
CATERING AT THE STAND
The organization includes trays of pastries for all exhibitors during coffee breaks. Before the start of each coffee break, trays with pastries will be delivered to each stand. The quantity will correspond to the stand size. The organization will not provide extra tables to place the pastries. The exhibitor may refuse this service.
The exhibitor may offer visitors other catering services. It is recommended to use the official catering service of the event. The consumption of external foods is not allowed. The use of small coffee makers is permitted.

STAND CLEANING
The general cleaning of the congress includes cleaning of common areas, corridors, fixed rooms, maintenance of bathrooms, removal of plastic from the stands the night before the opening, and emptying trash cans. It does not include stand cleaning.
